The problem admissions teams describe
Enquiries arrive from the website, Google and Meta ads, education portals, WhatsApp, phone calls, school visits and education fairs. They end up in different sheets and inboxes. Counsellors call some of them twice and some never. By the time the session starts, nobody can say which campaign produced which admission, so next year's budget is a guess.
CampusFlow: a CRM built for the whole student life cycle
Naveen Kapur designed CampusFlow CRM for training institutes, colleges and academies, and it is used every day at a training institute. It follows a student from the first enquiry to alumni in one database, under one permission system:
Lead → walk-in or counselling → admission → payment and receipt → student form → review and approval → student → batch and trainer → attendance and fees → completion → placement → alumni.
One rule shows how it thinks: an admission is not yet a student. A student record, ID and roll number are created only after payment, receipt, a submitted form and approval, so the database never fills with half-finished students.
What is built
- Leads and walk-ins with follow-ups, tasks, notes and a full timeline.
- Webforms for the website and landing pages (embed by iframe, HTML, JavaScript or React) with Google, Meta and X tracking, and a redirect, popup or WhatsApp step after submit.
- Course and fee engine with monthly, quarterly, one-time, semester and custom plans.
- Collections with a late-fee engine: no fine, a one-time fine or a per-day fine, calculated from the actual payment date, with fee and fine shown separately on the receipt.
- Email and WhatsApp templates and an automation builder with triggers, conditions, schedules and delivered and read status.
- Role-based access from department down to each action, with an audit log.
Optional AI agents on WhatsApp
CampusFlow can add AI agents that work on WhatsApp inside the CRM's rules: a counselling agent that answers new enquiries from the institute's real course list and books visits, an accounts agent for payment follow-ups and receipts, and a student life cycle agent for forms, batches and attendance. The principle is simple: the CRM owns the records, the agents own the conversations, and staff can see and take over any conversation.
Around the CRM
- Campaigns: Google Ads and Meta Ads for programmes and intakes, with conversion tracking on real enquiries.
- Website and programme pages: a clear page for each course with fees, eligibility, duration and an enquiry form, built to be found on Google.
- Reports: enquiries, counselling, applications and admissions by programme, source and counsellor.
How a project usually runs
- 1Map the current admissions process with the admissions head and counsellors.
- 2Agree the stages, fields, sources and reports.
- 3Configure CampusFlow (or your existing CRM) with your programmes, fees, forms and integrations, and import last season's data after cleaning it.
- 4Train counsellors and managers by role.
- 5Run campaigns and review the reports every week during the season.
